Client intake, offers, deal checklists, documents, electronic signatures, email, calendar events, client portals, compliance reviews, commissions, payouts, and closed-file storage remain connected to the same transaction.
Client intake and buyer or seller workflows
Buyer and seller files begin in role-specific client workflows. Teams can collect transaction information, prepare documents, coordinate communication, and manage offers before a deal is created.
When the transaction moves forward, Broker Pilot carries the existing data into the deal so the team does not have to rebuild the file.
Deal workspaces and live checklists
Each deal follows a brokerage-defined workspace with sections for the work expected at that stage. The deal checklist reflects saved uploads, signatures, dates, emails, and workflow checks rather than operating as a separate disconnected list.
Authorized agents, brokers, and assigned transaction coordinators can also add a document, email, checklist item, or calendar event for one deal when that transaction requires an exception.
Documents, signatures, and client access
Documents can remain view-only, be prepared for signature, or be recorded as already signed. The same file and status can appear in the client workflow, deal workspace, document library, checklist, and client portal without creating unrelated copies.
Signing fields are controlled by the person who prepared the request, helping protect the signing setup from accidental changes by recipients.
Communication, dates, and Google connections
Teams can use brokerage and personal email templates, restore a provided default, attach files from a computer or company library, and include the buyer or seller portal link. Calendar dates stay connected to the deal and can sync to Google Calendar when a user enables the integration.
Google Drive can be used for brokerage-controlled closed-file storage when an authorized user connects it.
Compliance, commissions, and payout visibility
Agents can submit files for broker review, brokers can request corrections, and review status remains visible until the file is approved. Deal-level commission records keep splits, deductions, transaction coordinator fees, received funds, and payout progress near the underlying transaction.
