How Should Transaction Coordinator Access Work in Real Estate Software?
Why transaction coordinator access should follow individual deal assignments and provide the tools needed to coordinate the connected transaction.
Assign the coordinator at the deal level
A coordinator may work with multiple agents and only a subset of the brokerage's active files. Deal-level assignment gives the coordinator a clear work queue while limiting unrelated access.
Provide complete access to the assigned transaction
Limited deal assignment should not mean a partially broken workspace. The coordinator needs the same operational tools required to do the job: upload and replace attachments, prepare signing, use templates, work with contacts, update dates, share the appropriate client view, and maintain deal-specific items.
Keep communication transparent
When a coordinator sends deal communication, the reply-to options can include both the coordinator and responsible agent. The sender should be clear to recipients, and the email history should remain attached to the transaction.
Separate deal coordination from broader roles
Being eligible for assignment as a transaction coordinator does not necessarily make someone an agent, broker, or organization-wide administrator. Actions such as creating unrelated clients should depend on the additional role the brokerage has granted.
