What Should a Real Estate Brokerage Do After an Offer Is Accepted?

A practical accepted-offer checklist for US real estate brokerages moving a buyer or seller file into active transaction coordination.

Confirm the contract and the accepted offer

Start with the executed contract and any accepted counteroffer or addenda that control the transaction. Verify that the brokerage is working from the correct version before dates, participants, or financial values are distributed to other systems.

If several offers were received, the accepted offer should be clearly distinguished from the offers that were not selected. The transaction record should preserve the accepted contract without making the team guess which upload created the deal.

Create one active deal record

Move the existing buyer or seller transaction into an active deal without recreating the same client, property, price, closing date, agent, or contract information. A connected conversion reduces duplicate entry and keeps the earlier client workflow available as context.

The deal should have a direct route from the accepted offer and the original transaction should show that a connected deal exists.

Verify parties, dates, and responsibilities

Confirm the buyer, seller, agents, title or closing contact, lender when applicable, transaction coordinator, and other deal contacts. Record the effective or accepted date, closing date, inspection or due-diligence periods, financing milestones, and brokerage-specific deadlines from the controlling documents.

Date calculations can be useful, but the team should be able to override a calculated deadline when the contract or local practice requires a different date. The transaction record and connected calendar should then use the same updated value.

Begin communication, documents, and broker review

Send the opening communication appropriate to the represented side, share client-facing information through the buyer or seller portal, and collect the documents required by the brokerage workflow. Assign signing only after the correct file and signers have been verified.

Broker review should remain attached to the deal until approval. If corrections are requested, the re-review state should stay visible to the agent while the broker's active queue can wait for the resubmission.
